Clixlogix activated seven connected workflows on Zoho AI and added an ElevenLabs voice intake agent, recovering after hours inquiries and surfacing churn risk early enough to act on.

Clixlogix configured Zoho AI workflows and integrated a voice intake agent into the Client’s existing Zoho One environment. The Client is a family owned home care provider operating across the Northeast United States. The scope covered CRM stage automation, booking gap churn scoring, sentiment prioritized support triage, AI assisted caregiver matching, insurance and authorization readiness checklists, family communication journeys through Zoho Marketing Automation, and a voice inquiry intake agent built on ElevenLabs Conversational AI and Twilio, posting qualified leads into Zoho CRM. Within the first quarter after launch, churn reduced 23%, support resolution time compressed 40%, consultation to care start conversion doubled, caregiver matching moved from a five to six hour manual search into a thirty minute assisted shortlist, and after hours inquiries that had been lost to voicemail were captured, qualified, and staged inside Zoho CRM before the next coordinator shift.
The Client is a family owned home care provider founded in the late 2000s, delivering personalized in home support to families across the Northeast United States. The organization operates with service coverage across dense metropolitan communities, suburban markets, and regional care corridors. The care catalogue spans hourly home care, personal care, respite, private duty nursing, live in care, memory care, therapy support, and other specialized in home services.
The Client serves two operational cohorts.
The agency operates with a multi location regional footprint, serving hundreds of clients and deploying hundreds of caregivers across its service area.
The Client had migrated from HubSpot to Zoho One with a prior vendor before engaging Clixlogix. The migration was complete but the operating experience remained sluggish. The team needed a partner who could turn the existing Zoho One environment into an operating advantage rather than another administrative surface. Clixlogix was introduced through an existing client referral.
The Client engaged Clixlogix to convert the existing Zoho One environment into a coordinated care operations platform, close the after hours inquiry gap, surface churn risk before it converted into lost families, and give managers earlier visibility into support urgency and caregiver matching.
At the time of engagement, the agency was capturing inbound inquiries across chat, phone, referral, and manual intake. Six operational drags were visible in the day to day workflow.
Clixlogix opened the engagement with a structured discovery pass across the Client’s operational surface. The prior Zoho One configuration had left fractured workflows in several places, and in a healthcare adjacent operator those fractures translated into audit risk and service quality exposure. Seven findings shaped the build plan.
Blueprint, Journey Builder, AI scoring, and Workflow Rules sat dormant. The environment behaved as a data holding pen rather than a workflow engine.The Client also held a substantial untapped asset. Zoho One was already deployed with data flowing across CRM, Desk, SalesIQ, and Marketing Automation. The environment was ready for AI workflow layering and voice extension. What it lacked was a connected operating model.
Clixlogix delivered the engagement in four sequential phases. Each phase produced a defined deliverable and required sign off before the next phase began.

Before scoping any technical work, Clixlogix mapped the Client’s operational economics, competitive positioning, and workflow bottlenecks against the underutilized Zoho One capabilities already licensed by the agency. The objective was to identify where automation and AI investment would return the highest economic value and where the human judgment central to home care needed to be preserved. Three findings shaped the engagement structure.
First, the agency’s competitive advantage sat in its family owned identity, its long tenured caregiver relationships, and its regional density across its Northeast service area. Capital alone could not replicate those strengths. Technology investment was scoped to accelerate operations behind that advantage.

Across Zoho implementations in healthcare adjacent verticals, Clixlogix has watched operators buy the platform for CRM and then keep coordinating care in spreadsheets. The Client's pivotable move was to route every operational decision through the Zoho record. Human judgment stayed with the coordinators. The record became auditable, coachable, and defensible under state audit.
Second, funnel analysis showed the largest economic opportunity sat in attrition prevention and after hours inquiry capture. Leadership had been reluctant to expand marketing spend while leakage between the sales funnel and operations was consuming a portion of every acquired lead. The inbound pipeline carried sufficient volume. Recovering lost inquiries and stopping attrition inside the existing funnel represented the highest return targets for automation investment, and the operational recovery would create the conditions to justify future marketing expansion.
Consulting Insight
In family owned home care operators, marketing and operations budgets often sit in tension. When growth stalls, leadership funds acquisition. When operations complains about capacity, marketing gets frozen. Clixlogix has repeatedly watched the same finance conversation resolve once CRM data is made legible. Attrition, first touch time, and consultation drop off are almost always the real constrained resource, and every dollar spent on acquisition against a leaking funnel underwrites a competitor's marketing budget instead of the Client's own. Making that visible in Zoho, so leadership can watch operational recovery track against the marketing plan they want to fund, is what unlocks the sign off both teams have been waiting for.
Third, the Client was already paying for Zoho One capabilities that remained unactivated. Zoho AI capabilities inside CRM and Desk, Zoho Marketing Automation Journey Builder, and Zoho SalesIQ chat capture were all included in the existing subscription and available for immediate deployment. The engagement did not require a platform replacement or a second migration.
These findings led Clixlogix to structure the implementation around seven workflows connected through Zoho CRM as the system of record, with an ElevenLabs voice agent extending inquiry intake into hours the human team did not staff.

The Business Analyst mapped every workflow from inquiry capture through care start, including consultation scheduling, needs and service fit review, insurance verification, care plan creation, documentation collection, authorization tracking, caregiver assignment, and family onboarding. Joint discovery sessions were held with the Client’s intake team, care coordinators, support managers, and leadership.

The economic case for after hours voice intake sits in three defensible numbers. The 2024 Genworth Cost of Care Survey documents home health aide services in Northeast metropolitan markets at roughly $80,000 annually on a 44 hour week, or about $35 per hour. At 20 to 40 hours per week over a multi month engagement, each recovered inquiry that converts is worth $15,000 to $50,000 in first year revenue. On the cost side, published voice AI pricing benchmarks put a scoped ElevenLabs plus Twilio agent at $0.18 to $0.45 per minute fully loaded, translating to under $1,500 per month in platform cost at the evening weekday call volumes typical of a regional operator, against $5,000 to $7,000 per month for a fully loaded after hours human intake seat based on standard after hours staffing cost accounting.

ElevenLabs Conversational AI was selected. The low code visual agent builder, the naturalness of the voice for a family calling in stress, the two to three week deployment window against the pilot timeline, and the direct webhook integration with Zoho CRM aligned with the engagement’s speed and defensibility requirements. Twilio provided the telephony layer.

With the Master Discovery Report approved, Phase 3 translated the prioritized findings into a fixed cost implementation proposal and technical architecture. The seven workflow build plan mapped directly to the Discovery prioritization matrix and work leaf catalogue. Each workflow was structured on a trigger, action, and guardrail pattern so automation could accelerate the care journey while keeping sensitive decisions under human oversight.

Voice intake platform decision. Alongside the seven workflows, Clixlogix scoped a Voice Intake Agent as a distinct capability. The platform choice ran against the build versus buy analysis captured in Discovery, and ElevenLabs Conversational AI was selected on the strength of a two to four week deployment window, a low code visual agent builder, industry leading voice naturalness for anxious callers, native post call webhook integration with Zoho CRM, and HIPAA eligible configuration on the enterprise tier with BAA and Zero Retention Mode. Twilio provided the telephony layer. The agent’s scope was deliberately narrow. It qualified inquiries and posted leads. It did not price services, commit to care plans, or offer clinical guidance.

Consulting Insight
Voice intake was launched as Phase 1 of a broader voice capability roadmap. Phase 1 covered inbound inquiry qualification only, delivered through a scoped pilot on a routed subset of after hours calls for two weeks before the agent was opened to the full inbound line. Sequencing that pilot before full rollout is the operational discipline that keeps voice deployments defensible in a healthcare adjacent operator. Later phases on the roadmap, planned for subsequent engagements, include appointment confirmation and reminder outreach, booking gap re engagement calls where consent and TCPA permissions allow, post visit satisfaction micro surveys, and, where regulatory permissions align, caregiver check in as a compliant EVV modality under the 21st Century Cures Act. Releasing a voice agent to answer clinical or pricing questions before a scoped pilot has proven the qualification layer is where service quality risk enters home care voice deployments.
Implementation followed a three stage delivery structure. A pilot rollout validated each workflow against live intake and support volume before broader deployment.
CRM Stage Automation went live first. Zoho CRM Blueprint enforced the intake to care start state machine, with tasks, reminders, and SLA timers attached to each transition. Lead Response SLA Automation deployed alongside, assigning new inquiries by round robin inside two minutes, with first touch tasks due within fifteen minutes and supervisor escalation at thirty minutes.
Authorization and Documentation Readiness Gate deployed next. The Care Started stage became conditional on five checklist items being marked complete.
Overdue items triggered follow up tasks and escalation after 48 hours.
Family Communication Journeys launched inside Zoho Marketing Automation. More than 25 Journey Builder sequences were configured within the first quarter, segmented across new inquiry follow up, consultation reminders, documentation nudges, care start welcome, active care check ins, booking gap outreach, and reactivation.

The scoring surfaced a retention task on the account manager when the score and booking signal met the configured threshold, with an approved list offer suggestion attached.
Calibration Note
Two weeks into pilot testing, the retention team flagged that the churn signal was flagging planned pauses as risk events. Families that had communicated a temporary pause for hospitalization, travel, or family coverage were generating retention tasks that the coordinators had to close manually. The scoring model was calibrated to weight explicit pause reasons in the CRM record over raw booking gap length. False positives dropped by more than half in the following two weeks.
Zoho Desk sentiment categorization went live for support tickets. Negative sentiment combined with caregiver, safety, missed shift, or billing tags routed the ticket to a manager escalation lane through Zoho Cliq. The manager escalation view was tuned during the first month to reduce alert fatigue, moving routine negative sentiment tickets to a daily digest and reserving real time Cliq alerts for the operational tags.

Caregiver Matching Shortlist deployed in the third month. AI assisted ranking surfaced three to five caregiver candidates per new assignment based on proximity, past ratings, service type match, availability, and prior assignment success. Coordinators retained final approval. Match time dropped from a five to six hour manual review process to a thirty minute assisted decision.

The voice intake agent deployed on ElevenLabs Conversational AI with Twilio providing the telephony layer. Inbound calls arriving outside staffed hours forwarded to the agent number. The agent followed a scoped qualification script and posted a Zoho CRM Lead through webhook with transcript, audio recording link, urgency tag, and source set to AI Voice Intake.
Captured fields included the following.
Post call, CRM assigned the lead by round robin, scheduled the coordinator first touch task for the next shift, and opened an acknowledgment journey through email or SMS.
The agent had hard handoff triggers configured from day one. Active medical emergency, mention of self harm, hospital discharge within 48 hours, and explicit request for a person all routed the caller to an on call warm transfer line. The agent opened every call with AI disclosure. Pricing questions, service commitments, and clinical assessment were out of scope, and out of scope prompts returned a callback promise rather than an attempted answer. The voice stack was configured for HIPAA eligible use, subject to executed BAA and Zero Retention Mode on the ElevenLabs enterprise tier, with TCPA aware call handling at the platform layer.
Calibration Note
Few days into rollout, the operations team flagged that the voice agent was occasionally attempting to answer pricing questions when families pushed with follow ups. The knowledge base and system prompt were tightened so any out of scope prompt returned a scripted callback promise and closed the loop. The behavior stabilized within the following week.

After each workflow went live, Clixlogix ran a two week calibration window against real inquiry, support, and matching volume. The calibration surfaced eight recurring conditions that required tuning.

Every metric below reflects the first quarter after launch measured against the pre engagement operational baseline.
